HEA Member Privacy Policy

Applies To: All members of the Home Education Association (HEA), including volunteers and committee members.

Purpose of This Policy

HEA is committed to safeguarding the personal information of its members. This policy outlines how HEA collects, uses, stores, and shares personal data in accordance with thePrivacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

What Information We May Collect

HEA may collect the following personal information:

  • Full name, contact details, and residential address

  • Membership type, preferences, and renewal history

  • Student names and year levels (if applicable)

  • Payment details and transaction history

  • Volunteer roles and committee participation

  • Communications, feedback, and survey responses

  • Any additional information provided during registration or engagement

Why We Collect It

HEA may collect personal information to:

  • Administer memberships and subscriptions

  • Provide educational resources and member support

  • Facilitate access to platforms like Education Perfect and others

  • Coordinate volunteer and committee activities

  • Communicate updates, newsletters, and event invitations

  • Comply with legal and reporting obligations

How We Store and Protect Your Data

HEA uses secure, encrypted systems to store personal data. Access is limited to authorized personnel. We regularly review our security practices to ensure compliance and protection against unauthorized access, loss, or misuse.

Disclosure and Third Parties

HEA does not sell or rent member data. We may disclose personal information:

  • To service providers supporting HEA operations (e.g., payment processors, Education Perfect and other platforms)

  • When legally required by government or regulatory bodies

  • With member consent for collaborative projects or advocacy

  • Within shared learning environments (e.g., Education Perfect), where limited visibility of names or participation may occur. This is restricted to what is reasonably necessary for educational use

Data Hosting and Transfers

Where data is stored or processed by third-party platforms (e.g., email services, cloud storage), we ensure these providers comply with Australian privacy standards or equivalent safeguards.

Access and Correction

Members may request access to their personal information or ask for corrections by contacting: contact@hea.edu.au or 1300 72 99 91

Requests will be responded to within a reasonable timeframe, typically within 30 days.

Child Safety and Sensitive Information

HEA respects the privacy of children and families. Where information relates to children, we apply additional safeguards in line with the National Principles for Child Safe Organisations. Sensitive information (e.g., health, cultural background) is only collected with consent and used appropriately.

Retention and Disposal

Personal information is retained only as long as necessary for HEA’s operations or legal compliance. When no longer required, data is securely deleted or anonymised.

Complaints and Concerns

If you believe your privacy has been breached, please contact us. We will investigate and respond promptly. If unresolved, you may contact the Office of the Australian Information Commissioner (OAIC).

Changes to This Policy

We may update this policy to reflect changes in law or HEA practices. Members will be notified via email and/or website updates.
